Outbound engine for a global events brand: 341k sends, 1.3K positive opportunities

Cold Email for Events3 mins read Real client campaign

The client: A global events brand that needed a steady flow of qualified prospects at scale.

1.3Kinterested opportunities in four months

The background

The client needed qualified prospects at a volume a manual outreach team could not reach, and needed that volume to keep going for months without burning their sending reputation.

What I built

I built and ran the full cold email system end to end.

1. Sending infrastructure

Sending domains and inboxes, each warmed up before it carried campaign volume.

2. Deliverability setup

Open and click tracking off, plain-text emails, and bounce protection to keep sender reputation clean.

3. Lead sourcing and verification

Prospect lists sourced and verified before sending, so bounces stayed low as volume grew.

4. Copywriting with ongoing A/B tests

Copy was tested continuously, with winning variants carried forward.

5. Reply handling

Replies were handled and interested prospects handed off to the client as opportunities.

The proof

341Kemails sent
2.32%reply rate
1.3Kinterested opportunities
~5,000emails a day at full volume

From May 1 to August 31 the engine sent 341k emails at a 2.32% reply rate, and 1.3K interested opportunities were handed off to the client.

The campaign dashboard, May 1 to Aug 31. Open and click rates read 0% because tracking was switched off.

Key takeaways

Infrastructure and warmup come first: they are what let a campaign run at thousands of emails a day.

Turning tracking off and sending plain text protects deliverability at scale.

Continuous A/B testing keeps the reply rate up across months, not just in the first week.
